JOB DESCRIPTION
Main Responsibilities:
Provide assistance and handle ad-hoc responsibilities delegated by the Human Resources & OD Manager.
Daily checking Portal accounts (labor & immigration)
Co-ordinate with PRO for Issuance/Renewal/Cancellation of Labour Card, Residence Visa and Emirates ID for employees.
Processing & checking online Visit visa for staff''s relatives and ensuring receipts are issued for every cash payment made
Maintain electronic record of expiry of residence visa and labour card for all persons sponsored by the Company and give notice to all employees at least 2 months prior to expiry.
Maintain Safe Custody of Staff''s Labour Cards
Reconciliation of invoices on a daily basis
Prepare monthly statement of immigration & Labour expenses and submit to the Human Resources & OD Manager
Set-up staff files for new employees ensuring that at the outset the file contains C.V., employment offer, passport size photograph, copy of passport, residence visa, labour card and Emirates ID
Send management travel plan on weekly basis and coordinate accordingly with the management for their travel update on weekly basis.
Monthly check on work permit quota for the company legal entities, passport expiry, visa & labor card expiry, Establishment card expiry etc.
- Monthly report on - Cash Imprest ( petty cash ), Bank guarantee reporting, visa expenses report & monthly income report.
Once in three years to renew the company''s immigration card.
Assist with arrangements for company sports and social events.

Accountabilities
The position is measured against:
Ensure employees visa and labor cards are renewed before expiry dates.
Handling of staff complaints and queries with regard to visa related issues in a timely and professional manner.
Ensure all required staff files re maintained with the initial requirements/documents
Communication of staff visa changes to HR colleagues once the changes are effected to ensure required actions are implemented.
