Main Purpose
To provide a positive and professional image of Trafigura to all visitors and employees. To ensure that the office is clean and presentable at all times. To operate the switchboard in a timely and efficient manner. To provide effective support to the Office Manager representative in Dubai.To provide secretarial office support to Dubai employees with the support of the office Manager

Key Responsibilities
RECEPTION
Welcome guests in a professional and timely manner.
Answer phones promptly and appropriately.
Organise daily post and courier packages.
To keep an organised diary of meeting rooms, to set up VC''S agenda.
ADMIN SUPPORT
To assist admin department with various monthly reports to the other Trafigura offices.

SECRETARIAL SUPPORT
To book hotels for staff efficiently and to liaise with hotels in Dubai for the best corporate rates available .
To arrange any visa submissions needed for business travelers in a timely manner.
To organise meetings and various conferences for Dubai.
To organise the Dubai offices filing efficiently and in an organised manner.
To type various letters and documents as well as presentations.
Knowledge Skills and Abilities
To have worked in a fast paced environment. Computer literate, with excellent interpersonal skills.
Ability to multi task and work well under pressure. With excellent organisational skills.
