Responsibilities: Support the Group in the departments of: Finance, Legal, HR and Marketing Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence Trip and agenda organization for the Country Manager and Vice Country Manager Designs and implements office policies by establishing standards and procedures; Manage relationships with external providers (Bank, DMCC, vendors, service providers, landlord, etc.) ensuring that all items are invoiced and paid on time Implement, manage and maintain record keeping, confidential personnel files, purchasing and inventory control systems Manage office equipment, maintenance and service contracts and systems Assist with Human Resources management: design and implement policies and procedures, manage benefits administration, recruitment, orientation and training of staff Maintains office staff by recruiting (job posting, meeting candidates for interviews, testing the candidates), selecting and orienting employees Organizing induction programs for new employees Ensuring that health and safety policies are up to date Record office expenditure and manage the budget Management of various payments (wages, expenses notes, contractors bills) Maintain and update the bookkeeping Maintain the relation with the auditor Skills Experience and Requirements: 1-3 years experience as an Administrative Assistant or Project Manager Able to travel to Italy and Poland for 20% -25% of the working time Knowledge of office management responsibilities, systems and procedures Knowledge of basic accounting, data and administrative management practices and procedures Knowledge of human resources management practices and procedures Experience working with a diverse, multicultural population considered an asset Desired Skills : Strong communication skills Excellent time management and organizational skills with strong attention to detail Ability to work well under pressure and multi-task without supervision Ability to take initiative, problem solve, and make decisions within job scope Planning and Organization Proactive Computer skills and knowledge of Office software packages Proficiency in English Polish language is mandatory
